How to: Automatically Assign Leads Using Workflow

You can use Microsoft CRM to automate internal business processes by creating workflows to carry out routine tasks that involve daily business operations.

Customers frequently ask about using Workflow to automatically assign and route Leads to sales people. Below is a step-by-step guide on how to use the Microsoft CRM Workflow engine to assign Leads to sales people based on the state (address) of new Leads.

First launch the Microsoft CRM Workflow Manager on the CRM server

Select the Lead object, and click File -> New. When the new window appears, enter a Rule Name and Description. The Rule Name is the text that will appear when you use the CRM web browser interface.

Select the event that will trigger the workflow rule. Since we want this rule to assign Leads when they are created, we will select the "Create" event.

Select Insert Condition -> Check Condition

Create the condition we want to evaluate when the Lead is created. Again, we want to assign Leads to SalesPeople based on state so we will select "address1_stateorprovince".

Select the operator to evaluate state values. Since one salesperson covers multiple states, we will use the "IN" operator.

Enter the state values separated by a semicolon. Only enter the states that one salesperson will cover.

Select Insert Action -> Assign Object since we want to assign the Lead to a salesperson. Of course, we could also add more actions such as sending an email to the sales person or automatically creating a follow up activity.

Select the User you want to assign the Leads to (for the state values you entered).
